Business Inquiries - Overview

The Business Inquiries allow users to search and retrieve data and images maintained in the Corporation Database. The Corporation Database is a collection of files that records business filings submitted to, and approved by the Ohio Secretary of State. The database maintains records for Profit Corporations, Non-Profit Corporations, Professional Associations, Foreign Corporations, Foreign Name Registrations, Business Trusts, Real Estate Trusts, Churches, Fictitious Names, Trade Names, Limited Liability Companies,Limited Liability Partnerships, Limited Partnerships, Trade Marks, Service Marks, Marks of Ownership, and Name Reservations. These filings are recorded and maintained in accordance with the Ohio Revised Code.

Data History

All business filings were manually maintained prior to 1973. The office then began entering new filings into a computerized system. Data for businesses that were formed prior to 1973 was entered into the computerized system if they were still active at that time. The data for businesses that were not active in 1973 and have not reinstated, has been partially entered into the system.
Images of approved filings were maintained on microfilm prior to 1997 when office began converting the film for all active businesses to a computerized format. Newly submitted filings since that time have been created and maintained in this computerized format.

UCC Inquiries - Overview

The UCC Inquiries allow users to search and retrieve data and images that is maintained in the Uniform Commercial Code Database. The Uniform Commercial Code Database is a collection of files that record secured loan filings submitted to, and approved by the Ohio Secretary of State.
A lender (or secured party) submits a filing to the Ohio Secretary of State to record their interest in collateral when a borrower (or debtor) initiates a loan from them. Subsequent filings are submitted to keep the debtor, secured party and collateral information current. These filings are recorded and maintained in accordance with the Ohio Revised Code.

Data History

All Ohio Secretary of State UCC filings were manually maintained prior to 1985. The office computerized their records at that time and used that system until August 1989, when a new system was implemented. Active filings only were converted at that time, while filings that were lapsed or terminated were not converted. All filings were converted again to a modified relational structure in 1997. Due to changes in law that became effective in July of 2001, all filings were converted again to the current relational structure.
Images of approved filings were maintained on microfilm prior to 1997 when office began converting the film for all active businesses to a computerized format. Newly submitted filings since that time have been created and maintained in this computerized format

Document Image

Images of approved filings are available for on-line viewing. They can be viewed from all reports that display a document ID by clicking on the document ID 'link'. Search the on-line inquiries to find the exact Business or Secured Loan Transaction that interests you, then click on each document link to have the associated image displayed. Images are displayed in PDF format.

You can choose to download an image to your PC by right clicking on the document link, choosing 'Save Target As' from the shortcut menu and selecting the directory where you want to save the image.Images that have not yet been added to our database can be obtained by contacting the Ohio Secretary of State toll free at 1-877-SOS-FILE or by sending an e-mail request to BUSSERV@SOS.STATE.OH.US.
